There cannot be any other reply.
You have been told what causes the issue and possible work arounds.
If those work arounds don't work for you is another story.
However there's nothing that can be changed from VirtualDJ's perspective to make things different.
So, either you follow one of the proposed solutions / work arounds, or you'll keep having the same behavior.

A developer could find this and possibly add it to a future fix

No they couldn't.
it's a operating system look up for every present file for every part of search. You're asking for a months shopping in one bag and that bag not being heavy - logic does not allow it.
Stop using file date, that's the ONLY fix. The field is there for super niche cases and it comes with the warning - do not use for long term use on large libraries as you will have slow search, the exact symptom you're suffering and instantly diagnosed without needing specifics.
If a developer told you this would you believe them?
Because you've been told already by staff and a few of the most knowledgable vdj users who also have IT jobs/coding experience.
